Marketing Coordinator

Job Summary

Our marketing team is growing, and we are looking for someone who can help bring our company’s marketing to the next level. With more than 85 employees across five offices, our company is small enough that everyone knows each other, but large enough to have significant marketing resources, needs, and aspirations.

This position is an exciting growth opportunity for the right person. It is available in either our San Francisco, Sacramento, or Silicon Valley (Redwood City) offices, though San Francisco is preferred. The work will involve a wide range of tasks to support our marketing team with the firm’s marketing, business development, administrative, and recruiting functions as needed. On occasion, some travel will be requested to other offices (including our largest office in Santa Rosa). A full-time in-office position is preferred, though we are open to a hybrid arrangement for the right candidate.

Ideal Candidate

The ideal candidate is motivated, creative, flexible, and a good communicator. This candidate is well organized, has excellent coordination skills, and pays keen attention to details. Strong writing and editing skills are a must. This candidate is good natured, positive, and knows how to juggle simultaneous tasks as well as work with a team of busy people. This person is confident but eager to learn and unafraid of asking questions.

A Marketing Coordinator for this position shall hold a bachelor’s degree in business, marketing, communications, or other related and relevant field of study is preferred. Alternately, a minimum of two years of relevant professional experience in the A/E/C field is helpful. A Marketing Coordinator who meets neither qualification shall be passionate to learn and contribute meaningfully to the team, and able to demonstrate this as well as their relevant skills and aspirations in an oral and written manner.

A Marketing Coordinator for this position shall be Proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint). Proficiency with Adobe Creative Cloud and in Adobe programs (InDesign, Acrobat, Photoshop) is desirable as is some experience with Deltek Vision, Vantagepoint, or similar database application.

A Marketing Coordinator for this position possesses the primary daily coordination and skills necessary work on a variety of marketing, business development, and administrative assignments with a great degree of independence.

Salary range:

$70,000 – $85,000

This range provides a reasonable estimate of the base salary that an applicant may be paid. Actual pay rates may vary from this range depending on various factors including education, experience, skills and location.

Supports the marketing team in the development of branded marketing collateral to support staff needs

Helps develop marketing collateral and presentations for client marketing, conferences, trade shows, and career fairs

A/E/C experience is ideal, especially with an understanding of the public (and private) request for qualifications/proposals (RFQ/P) process. Personal contacts, knowledge, and interest in the local A/E/C markets are a plus

Strives to maintain accurate and up-to-date marketing libraries via continual updates to existing event flyers, proposals, projects database, digital files, career fair materials, and statements of qualifications (SOQs)

Assists with the pursuit of professionally photographed images of built projects to grow our website as well as with upkeep of a content management log to catalog and prioritize project photography needs

Supports the marketing team with the preparation of proposals and sub-packages including compiling resume drafts, project description pages, and completing the required forms in response to RFQ/Ps

Supports the coordination and preparation of event packages, and on some occasions, possibly attends events related to projects, sponsorships, fundraisers, golf tournaments, conferences, trade shows, and career fairs as well as the planning and coordination of annual employee events and client-focused events

Supports the marketing team with the preparation of award submittals

The ability to be flexible and fulfill multiple roles as needed is key within a medium-sized company and is highly valued.

Assists with coordination and monitoring deliveries of client holiday gifts

Assists with updating and maintaining the website

Assists the marketing team with posting pre-approved social media announcements

Coordinates engineering licensing renewals

Maintains the inventory of marketing supplies and event giveaway items and places orders for additional supplies as needed

Provides some administrative support to local offices, possibly including ordering supplies, coordinating vendors, shipping items to other offices, troubleshooting equipment issues, researching new office equipment, and assisting with office relocations
